Waterline compliance across every practice. In one record.

Caseore gives growing DSOs one operational evidence record for waterline testing, failed-test remediation, shock treatment, retests, and regional oversight before the spreadsheet breaks for good.

The scale where one compliance manager cannot hold it in their head anymore.

A solo practice keeps waterline compliance in a binder. A 50-practice DSO has enterprise tooling. In the middle, someone is trying to run thousands of results through a spreadsheet that was never meant to be a system of record.

~8

Operatories per practice

Each with its own dental unit waterlines, each requiring testing on cadence.

~30

Tests per practice per year

Quarterly testing per unit means a 20-practice DSO produces hundreds of results that all need evaluation and, when failed, remediation.

5%

Typical failure rate

Untreated waterlines routinely exceed CDC limits. Every failure is a case that must be shocked, retested, and closed.

The spreadsheet that stopped working around practice #15.

How most mid-size DSOs operate now

  • A regional compliance manager maintains a master spreadsheet with rows per operatory and practice.
  • Each practice emails quarterly test results and someone transcribes them.
  • Failures are tracked in a second tab, with remediation updated manually.
  • Shock treatment happens at the practice, and confirmation disappears into email or verbal handoff.
  • Retest happens, but linking it back to the original failure is manual work.
  • When an auditor asks for one practice, someone spends a day reconstructing the record.

With Caseore

  • Every operatory in every practice lives in a registry with assigned test cadence.
  • Practices submit results in-app or via lab integration, and thresholds are evaluated on arrival.
  • A failed test opens a case at the practice and routes it to the named lead.
  • Shock treatment is logged against the case with product, contact time, and staff signoff.
  • Retest is linked to the original failure so the full arc is visible in one view.
  • Regional or practice-level evidence export is available in one click.

When a waterline fails a test, the same six-step case runs every time.

01 · Schedule

Testing cadence per operatory

Quarterly by default, adjustable per practice, with reminders routed to the practice lead.

02 · Result

Logged against the operatory

Every result is tied to the dental unit and water source. Above 500 CFU/mL triggers a case.

03 · Case opens

Routed to the practice compliance lead

The case includes line history, prior treatments, and the guidance relevant to the failure level.

04 · Shock treatment

Product, contact time, and staff signoff

Remediation is logged against the case, and the regional manager sees status without chasing the practice.

05 · Retest

Linked to the original failure

A post-treatment sample on the same operatory confirms whether remediation actually worked.

06 · Closure

Signoff and record sealed

Practice lead and regional manager can sign off before the operatory returns to normal cadence.

Regional oversight. Practice-level execution. Operatory-level detail.

Registry

Every operatory in every practice

Dental units, water source, and treatment product are tracked per operatory. No more guessing which chair failed.

Cadence

Quarterly testing schedule, enforceable

Overdue tests escalate to regional leadership so practices cannot silently skip a quarter.

CDC-ready

≤500 CFU/mL threshold pre-configured

The workflow starts with CDC guidance and can tighten for any state-level overlay without rebuilding the program.

Shock treatment

Product inventory and treatment logging

Track the product used, contact time, and the staff member who performed the treatment on each failed line.

Regional rollup

Every practice, one dashboard

Failure rate by practice, repeat offenders by operatory, and compliance trend across the full group are visible in one place.

Export

Per-practice evidence packet

Export practice-level or group-level evidence for boards, acquisitions, accreditation reviews, or insurer questions.

The DSO pilot. 60 days. 3 practices. Full rollout path.

We configure Caseore to your group structure and run a live pilot across three practices, including the hardest one. The same configuration then becomes the rollout template for the rest of the group.

What's included

A live Caseore deployment for three practices, configured to your group's test cadence, reporting structure, and oversight model. Practice four and beyond become rollout work, not a new project.

What a regional compliance manager wants to know.

We use different waterline treatment products at different practices. Problem?

No. Each practice and operatory can be configured with its own product, contact time, and treatment protocol. Caseore tracks the workflow you actually run.

Some practices are DSO-owned and some are affiliated. Can both use this?

Yes. Affiliated practices can participate with scoped access. Their data stays theirs, while the regional view still rolls up.

Does the practice staff need to learn new software?

Very little. Practice staff usually need a short orientation for test entry and shock-treatment logging. Regional managers and compliance leads use the fuller workflow.

We have a state board audit coming. Can we deploy fast enough?

Usually yes. A 3-practice pilot can reach live operation in about 30 days from contract, and historical records can be imported to cover the retroactive review window.

How does this compare to the lab sending us a portal?

The lab portal shows test results. It does not run the case workflow after a failure, track shock treatment, coordinate retest, or give you a defensible closure record.

We are acquiring another group of practices. Timing?

The pilot configuration becomes the rollout template. Adding more practices to an established deployment is much faster than starting each time from scratch.
