Pass your next water compliance survey. Without the spreadsheet.

ESRD water compliance is not abstract risk. Caseore gives independent clinics and small regional operators the case workflow, evidence chain, and closure record that surveyors expect without making you build hospital-scale infrastructure first.

A single water compliance finding can close a clinic.

ESRD surveys are not theoretical risk. A failure to investigate a bacterial or endotoxin exceedance, or to verify that remediation worked, is exactly the kind of finding that becomes immediate jeopardy.

Cycle

Surveyed every 3 years, sometimes sooner

Complaint-driven and incident-driven surveys can arrive any time. The evidence has to be current, not reconstructed.

90-day

Corrective action plans run fast

Once cited, clinics typically have 90 days or less to demonstrate the finding is closed with documented evidence.

1 gap

One missing record is the whole finding

A surveyor does not grade on completeness. A gap in the chain of evidence for one retest is the citation.

The gap between how clinics actually operate and what surveyors expect.

How most independents operate now

  • Water culture and endotoxin logs live in a binder or spreadsheet at the clinic.
  • An exceedance is noted on paper, while investigation lives in email or a verbal handoff.
  • Corrective action is done, but tied back to the finding only by memory or a loose note.
  • Retests are logged separately, not visibly linked to the original deviation.
  • Vendor and lab communication scatters across inboxes.
  • Pre-survey means rebuilding the story from disconnected records.

With Caseore

  • Sampling is scheduled by site and water loop, with named assignees and due dates.
  • An exceedance automatically opens a case linked to the standard clause and asset.
  • Investigation, root cause, and corrective action tasks live in one thread.
  • Retest is linked to the original case so the surveyor sees the full arc.
  • Vendor and lab partners participate in the case without needing seat licenses.
  • A survey-ready evidence packet is exportable in minutes by date range or site.

Every water exceedance moves through a single defensible path.

01 · Schedule

Sampling calendar per loop

Bacterial and endotoxin cadence is configured per AAMI RD62 and ISO 23500 and assigned to the tech on shift.

02 · Collection

Evidence captured at collection

Chain of custody, sample location, and technician signoff are logged before lab submission.

03 · Result

Thresholds evaluated automatically

In-spec results close. Action-level or maximum exceedances open a case immediately.

04 · Investigation

Linked to loop history and assets

Prior findings on the same loop, recent maintenance, and vendor service history are already in the case.

05 · Remediation

Disinfection, repair, and vendor tasks

Actions are assigned with due dates, and the vendor participates in the same thread as clinic staff.

06 · Verification + closure

Retest linked. Signed off. Closed.

The surveyor sees finding, action, retest, and closure in one record without gaps.

The compliance system large chains build internally, delivered.

Loop registry

Every water loop and dialysis station mapped

Feed water, product water, distribution, and reuse are monitored against their own limits in one registry.

Standards-aware

RD62, ISO 23500, and ISO 13959 pre-configured

Action and maximum levels are ready for bacterial counts, endotoxin, and chemical contaminants.

Scheduled sampling

Cadence per clinic, per loop

Monthly bacterial, quarterly endotoxin, and annual chemistry cadences are tracked, with overdue items escalated.

Vendor-ready

Water treatment and lab partners in the case

Clinic staff stay in control while vendors and labs contribute directly to the finding record they helped resolve.

Multi-site

Roll up across 2-15 clinics

One operations view shows recurring loop problems across every site before they become repeated survey risk.

CMS export

Surveyor packet in one click

Export by site, date range, or specific finding with chain of custody preserved and signoff captured.

The dialysis water pilot. 60 days. One clinic. Live operation.

We configure Caseore to your clinic's water system, import up to 12 months of prior records, and take the workflow live. By day 60, you have a surveyor-ready evidence record.

What's included

A live Caseore deployment configured for your clinic: loop registry, sampling calendar, vendor coordination, and historical import. Not a sandbox. The record you will survey against.

What independents actually want to know.

Does this replace my LIMS or water treatment system?

No. Caseore sits beside your lab's LIMS and the water treatment equipment. It owns the compliance case and evidence record those systems were not designed to produce.

Can one clinical manager actually operate this?

Yes. The platform is built for small-team operations. A clinical manager or biomed lead typically owns the system, with others participating per case rather than every day.

What if my water treatment vendor is the one who does my testing?

Caseore is built for that arrangement. Your vendor participates in cases, submits results, and has scoped access to what they need while you still own the evidence record.

We already had a survey this year. Do we need this now?

Yes. The next survey is already on the calendar, and complaint-driven surveys can happen any time. The clinics that stand up the record now are not rebuilding under pressure later.

We are looking at being acquired. Is this a bad time?

It is often the best time. Large chains examine compliance records closely in diligence. A clinic with a clean evidence trail trades from a stronger position than one with a binder.

How fast can we go live?

Usually 30-45 days from contract to live operation at a single clinic. The 60-day pilot window includes at least one full scheduled-sampling cycle inside the system before review.
